Choose the records needed for daily work in ERPNext, then reconcile them to QuickBooks at an agreed date. Review the source edition and exports before fixing the migration scope.

Check the edition and export access

QuickBooks Online exports selected reports and lists to Excel. QuickBooks Desktop has its own report export process. Country, edition and available access matter. ERPNext's former built-in QuickBooks Migrator is deprecated and unavailable in current releases; a current migration uses reviewed exports and the supported ERPNext import tools.

Map records to their new purpose

What you needHow to prepare it
Accounts and contactsReview the account mapping and customer/supplier lists, including currency and tax settings.
Unpaid invoices and billsExport references, dates, parties and remaining amounts for opening invoices.
Products and inventoryMap available item records, units and opening quantities/values. Confirm what your edition records.
Other opening balancesUse the approved trial balance and supporting bank, advance and asset schedules to select the correct opening entries.

Validate before go-live

  • Run a trial import, document gaps and correct source or mapping errors.
  • Match the ERPNext trial balance and customer/supplier totals to the approved QuickBooks reports. Reconcile stock where applicable.
  • Avoid duplicating balances already created by opening invoices, stock or asset entries.
  • Test invoicing, receipt of payment, supplier billing and required reports. Agree the final export, cutover and finance sign-off.

Decide how history stays available

Preserve accessible source reports and the appropriate original backup or archive. Select the years and transaction detail you need inside ERPNext. Full historical imports, attachments and custom-field mapping need explicit review and an approved scope; an Excel report is not automatically a complete transaction migration.

Keep continuing connections explicit

A one-time migration does not establish ongoing QuickBooks sync. If QuickBooks remains in use, separately agree the records exchanged, supported access, ownership of changes and error handling. Payroll filing and payment services also need their own verified scope.
