Compare ERPNext and NetSuite using the transactions your team must complete, the reports finance must trust, and the ownership model you can support. Price the product configuration and delivery work required for those outcomes.
Compare the complete cost
ERPNext is GPL-3.0 open-source software with no ERPNext per-user licence fee. You can use managed Frappe Cloud hosting or maintain your own server. NetSuite is a paid cloud suite: its published pricing model uses an annual licence covering the core platform, optional modules and users, plus initial implementation. Request a written quote for your scope.
For either route, budget implementation, migration, custom development, integrations, training and ongoing support. Include ERPNext hosting and maintenance. For NetSuite, clarify subscription renewals, required modules, sandbox access and support coverage. A licence comparison alone does not establish your operating budget.
Buyer criteria to put in the shortlist
Identify what needs confirmation in the proposal, who owns each requirement and how it will be demonstrated.
| Decision | ERPNext | NetSuite |
|---|---|---|
| Hosting and ownership | Choose managed hosting or your own maintained server; assign responsibility for backups and upgrades. | Cloud subscription; clarify your responsibilities for release testing, support and configuration. |
| Multiple legal entities | Company records and parent structures; validate account alignment and required group reporting. | Confirm OneWorld scope for subsidiaries, currencies and consolidated reporting. |
| Country requirements | Verify the installed version and regional apps against your required outputs. | Confirm country SuiteApps, tax features and installation prerequisites. |
| Custom processes | Source access and extensions; confirm hosting permits the required custom apps. | SuiteCloud supports workflows, scripts and integrations; check supported records and limits. |
| Delivery scope | Name the configuration, migration, integration and support work included. | Name the licensed modules and delivery services included in the quote. |
Confirm modules and regional scope
Available functions depend on product version, enabled features and installed apps. NetSuite OneWorld is a specific implementation or upgrade for subsidiary management; confirm it is part of the proposal. Regional SuiteApps can have additional prerequisites. For ERPNext, review the relevant regional documentation and installed apps. Have finance verify the required tax report, invoice format and currency treatment. Record any gaps and the work required to close them before approving scope.
Evaluate with real work
Give both teams the same sample data and expected results. Have users complete the work and inspect accounting and operational records.
- Complete a sale through delivery, invoicing, payment and a partial return; reconcile stock, customer balance and tax.
- Receive a supplier order with a price or quantity difference, then check the payable and inventory value.
- Produce your required entity and group reports, including a foreign-currency balance and the agreed closing treatment.
- Run a critical integration twice, handle a failure, and confirm users can trace the result without duplicate records.
Rehearse migration before committing
Agree whether you need opening balances, unpaid invoices, operational records or detailed history. ERPNext opening tools serve different purposes; opening invoices do not preserve historical item detail. Oracle recommends balance-based preparation rather than loading complete transaction history for OneWorld setup or upgrades.
Rehearse a representative import and reconcile the trial balance, customer and supplier ageing, stock quantities and valuation. Test legacy references and required audit access. Assign responsibility for data cleanup, cutover, corrections and acceptance. Preserve access to the history you will need after the move.
Make the decision conditional on proof
ERPNext may fit when you value source access and hosting choice and have dependable ownership for delivery and maintenance. NetSuite may fit when its quoted suite and required modules demonstrate your operating and reporting needs. Choose after sample tasks, migration rehearsal and written scope are accepted. Apply the same criteria if Odoo is shortlisted.
